This Privacy Policy explains how MatchMyCare of Yanchep, Western Australia (we, us, our) collects, uses, discloses and protects your personal information when you use the MatchMyCare platform and related services.
We manage personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By using our platform, you consent to the handling of your personal information in accordance with this Privacy Policy.
1. What Personal Information We Collect
The types of personal information we collect will depend on whether you are a Clinician (Registered Nurse, Enrolled Nurse or support worker) or a Family user, and how you use our platform.
1.1 Information You Provide Directly
For Clinicians
- Identification and contact details: name, email address, phone number, suburb/state, and (if you choose) a profile photo.
- Professional details: qualifications, role (RN, EN, support worker), years of experience, areas of practice, languages spoken, availability, preferred locations and hourly rates.
- Preferences: work environment preferences, shift and schedule preferences, and other nonâclinical matching preferences.
- Account details: username, password and settings.
For Families
- Identification and contact details: name, email address, phone number, suburb/state.
- Household details and preferences: general description of the household environment and nonâclinical preferences for matching, to the extent you choose to provide them.
- Search and booking preferences: types of services sought, general availability and location preferences.
For All Users
- Communications you send to us (e.g. support requests, feedback).
- Inâapp chat messages exchanged through our platform.
We do not require you to input clinical diagnoses, medication lists or detailed health records. If you choose to include such information in freeâtext fields or messages, you do so voluntarily and at your own risk.
1.2 Information We Collect Automatically
When you use our platform we may automatically collect:
- Device and technical information: device type, operating system, app version, IP address and unique identifiers.
- Usage information: actions taken in the app (e.g. searches run, profiles viewed, messages sent), timestamps and interaction logs.
- Analytics data: aggregated statistics about how users navigate and use features.
We generally collect this information on a deâidentified or pseudonymous basis where possible.
1.3 Information We Receive From Third Parties
We may receive limited personal information from:
- App stores (e.g. Apple App Store, Google Play) in relation to subscription status and purchases.
- Payment processors (e.g. Stripe) in relation to payment confirmations and transaction IDs.
- Authentication or messaging providers used within our platform.
We do not receive your full card number or complete payment instrument details.
2. Purposes for Which We Collect, Use and Disclose Personal Information
We collect, hold, use and disclose your personal information for purposes including:
- Operating and providing our platform, including creating and managing accounts and enabling Clinicians to build profiles and Families to search and contact them.
- Matching and discovery, using preferences, availability and location information to rank or filter results.
- Communications, including enabling inâapp chat and sending you serviceârelated messages such as updates, notifications and support responses.
- Billing and payments, including managing subscriptions, processing payments and handling related enquiries.
- Improving our platform, including analytics, debugging, feature development and training matching algorithms (using deâidentified or aggregated data wherever reasonably possible).
- Security and abuse prevention, including monitoring for and responding to suspected fraud, misuse, harassment or breaches of our Terms of Service.
- Legal and regulatory compliance, including responding to lawful requests and enforcing our Terms of Service.
We will not sell your personal information to thirdâparty marketers.
3. Legal Basis (Australia)
For private sector organisations in Australia, the Privacy Act focuses on consent, reasonable expectations and fairness. We collect, use and disclose personal information only where:
- it is necessary for our functions and activities (operating our platform as a matching platform);
- we do so in a way that is lawful, fair and not unreasonably intrusive; and
- you have consented or would reasonably expect us to handle your information in that way.
Where we handle any information that may be considered sensitive information (for example, if a user voluntarily types healthârelated details into freeâtext fields), we will only use or disclose it with consent or as otherwise permitted by the APPs.
4. Disclosing Personal Information
We may disclose your personal information:
- To other platform users as part of normal operation, for example when a Family views a Clinician's profile or sends a chat message.
- To our service providers who help us operate our platform, such as hosting providers (including Supabase), analytics providers, payment processors, customer support tools and notification services.
- To professional advisers such as lawyers or accountants, where reasonably necessary.
- Where required or authorised by law, for example in response to a court order, subpoena or law enforcement request.
- In connection with a transaction such as a merger, acquisition or sale of assets, where personal information may be transferred to a successor entity.
We require our service providers to protect personal information and only use it for the services they provide to us.
5. Overseas Disclosure
Some of our service providers or their infrastructure may be located outside Australia or may store data in multiple regions (for example, cloud hosting and analytics platforms). This means your personal information may be disclosed to recipients in other countries, which may include the United States, the European Union or other locations used by our vendors.
We will take reasonable steps to ensure that overseas recipients handle personal information consistently with the APPs.
By using our platform, you consent to the overseas disclosure of your personal information on this basis.
6. Direct Marketing and Analytics
6.1 We may use your contact details to send you:
- serviceârelated communications (which you cannot opt out of while you have an account); and
- optional marketing communications about updates, new features or offers.
You may opt out of marketing communications at any time by using the unsubscribe link or adjusting your settings.
6.2 We may use analytics tools and similar technologies to understand how our platform is used and to improve performance and user experience. Where possible, we use these tools in a way that limits the identification of individuals.
7. Storage and Security
7.1 We take reasonable steps to protect personal information from misuse, interference, loss and from unauthorised access, modification or disclosure. Measures may include:
- using reputable hosting providers with access controls and encryption in transit;
- roleâbased access controls for staff and contractors;
- logging and monitoring of access to production systems;
- secure development practices; and
- staff and contractor confidentiality obligations.
7.2 No method of transmission or storage is completely secure. You are responsible for keeping your device secure and maintaining the confidentiality of your login credentials.
7.3 When personal information is no longer required for our functions or activities, we will take reasonable steps to deâidentify or securely destroy it, unless we are required by law to retain it.
8. Access and Correction
8.1 You have the right to request access to the personal information we hold about you, and to request correction if you believe it is inaccurate, outâofâdate, incomplete or misleading.
8.2 In most cases, you can access and update your information directly through our platform by editing your profile. If you cannot, please contact us using the details in section 11.
8.3 We may need to verify your identity before giving access or making corrections. In some circumstances allowed by the APPs we may refuse access or correction; if so, we will tell you why and how you can complain.
9. Anonymity and Pseudonymity
Where it is lawful and practicable, you may deal with us anonymously or under a pseudonym (for example, browsing informational content without logging in). However, to create an account and use our platform as a Family or Clinician we generally need identifiable information to operate the service safely and effectively.
10. ThirdâParty Links and Social Features
Our platform may contain links to websites or services operated by third parties. Those sites have their own privacy practices and are not covered by this Privacy Policy. We are not responsible for the privacy or security practices of thirdâparty services.
If you use any thirdâparty authentication method, the information shared with us is subject to both this Privacy Policy and the privacy policy of the thirdâparty provider.
